WhatsApp for clinics and healthcare providers
Appointments, preparation instructions and results notifications, without putting clinical detail in a message.
Where the value is
Healthcare has the strongest case for WhatsApp and the tightest constraints on it. Patients read it, and preparation instructions that arrive the night before genuinely change whether an appointment goes ahead. But health data is a special category under the GDPR, and a message is not the place for it.
What to send
Appointment reminders and preparation Utility
Fasting instructions, what to bring, where to park. The reasons an appointment is wasted are mundane and preventable by a message the evening before.
"Your results are ready" notifications Utility
Notify that results exist and where to see them. Never the results themselves — the notification is transactional, the content is special-category data and belongs behind a login.
Prescription and repeat reminders Utility
A reminder that a repeat is due, with a link to request it. Adherence is a real clinical outcome and reminders move it.
Reception overflow Service
A shared inbox absorbs the questions that would otherwise be a queue on the phone at nine in the morning, and several staff can work it at once.
Utility messages cost considerably less than marketing ones, and from 1 October 2026 replies within 24 hours of a customer messaging you are billed at the utility rate after 1,000 free service messages per number each month — the rates are here.
Templates you can submit
Copy the body, replace the placeholders with your own fields, and submit under the category shown. Each variable needs a sample value before Meta will review it. A template is approved per language, so translate and submit once per market.
appointment_preparation
UtilityHello {{1}}, your appointment at {{2}} is on {{3}} at {{4}}. Please do not eat for 8 hours beforehand and bring your ID and insurance card with you.
Keep the reason for the appointment out of the message. "Your appointment" is transactional; naming the condition is health data.
results_ready
UtilityHello {{1}}, your results from {{2}} are ready. You can see them by signing in to your patient account, or call {{3}} to speak to us about them.
Notification only. Putting a result in the message puts special-category data into a channel your patient may share a phone with someone on.
prescription_due
UtilityHello {{1}}, your repeat prescription from {{2}} is due for renewal. Reply RENEW and we will prepare it, or call {{3}} if anything has changed.
Avoid naming the medication. "Your repeat prescription" is enough to be useful and does not disclose a condition.
If Meta rejects one, every rejection reason is explained here.
What to measure
Decide these before you start, and take a baseline. Otherwise the programme gets judged on whether it felt worthwhile.
- Appointments cancelled or wasted for preventable reasons
- Call volume in the first hour of opening
- Time from result available to result seen
- Repeat prescription requests arriving before they run out
Before the first send
Meta requires opt-in and, in the EU, so does the law — being a customer is not the same as having agreed to be messaged on WhatsApp. The two guides worth reading first are collecting opt-in that holds up and GDPR and WhatsApp marketing.
Frequently asked questions
- Can I use the WhatsApp Business API for clinics and healthcare providers?
- Yes. The requirements are the same as for any business: a phone number not currently on WhatsApp, a verified business at Meta, at least one approved template, and opt-in from the people you intend to message.
- Do I need a separate template for every message?
- You need one approved template per message type and per language, with placeholders for the parts that change. One reminder template covers every appointment; you do not submit anything per customer.
- Which of these messages cost money?
- Any message that starts a conversation, at its category rate. Utility templates — reminders, confirmations, updates — are considerably cheaper than marketing ones. Replies within 24 hours of a customer messaging you are free until 30 September 2026; from 1 October 2026 Meta bills them at the utility rate after the first 1,000 service messages per business phone number each month.
- Can I message customers who have not opted in?
- No. Meta requires opt-in and, in the EU, so does the law. Having someone as a customer is not the same as having their permission to message them on WhatsApp — the channel is part of what they have to agree to.
